The problem
Why the binder stops working
A small lab keeps its accreditation record in a spreadsheet for equipment, a folder of certificates, a Word log for nonconformities, a calendar reminder for the internal audit, and the quality manager's memory for the rest.
It holds together until the surveillance notice arrives and the document request lands. Then the person who runs the bench spends two weeks reconstructing what already happened.
Calibration software tracks the equipment and stops there. QMS suites are priced and designed for organizations fifty times your size. The whole record, at a price a five-person lab can approve on a card, has not existed.
- Equipment spreadsheetEquipment register with calculated due dates
- Folder of certificatesCertificates attached to each calibration
- Word log of nonconformitiesNCR log with enforced states and effectiveness checks
- Calendar remindersOne due list and a Monday email
- The quality manager's memoryAn audit trail of every change
What it keeps
One record for each thing the standard requires
Each entry has a date, an owner and the evidence attached, so the clause the assessor cites is the record you open.
- 6.4
Equipment and calibration
Every item with identity, location, interval, due date, intermediate checks and the certificate attached to the event that produced it.
- 6.5
Metrological traceability
Reference standards and the accredited provider behind them, recorded once and linked from every item that depends on them.
- 6.2
Personnel competence
Authorizations, training and competence assessments for each person, with expiry and review dates on the due list.
- 7.7
Proficiency testing
The PT plan across your scope, results with z-scores or En numbers, and the follow-up for every round.
- 7.108.7
Nonconformities and corrective action
Root cause, action, owner and the effectiveness check, with a state that cannot skip to closed.
- 8.8
Internal audits
A programme that shows coverage of every clause, with reports and findings filed against each audit.
- 8.9
Management review
Every required input as a checklist, decisions and actions recorded, the next review on the calendar.
- 8.38.4
Documents and records
Controlled documents with versions, approval and review dates; records with their retention periods.
- 7.11
Software validation
A validation pack for AccreditBook itself, generated from the test suite with every release.
Every Monday
Work from one due list
Calibrations due, PT results owed, audits scheduled, corrective actions open, authorizations to review. One list on the dashboard and one email on Monday morning, sorted with anything lapsed at the top. Each line links to the record it updates.
- Lead times and grace periods per item type
- Recalculated every night and whenever a record changes

Evidence, attached
Every item carries its own evidence
Open any piece of equipment and the calibration history, the certificates, the intermediate checks and the change log are already there. When the assessor picks an instrument off the bench, the answer is one click away.

Before the visit
The document request, answered in minutes
Choose the whole record or the period since your last assessment. AccreditBook builds one pack: an indexed PDF, the data as spreadsheets the assessor can sort, and every certificate and report filed by clause and record.
Clause 7.11
The software question, answered before it is asked
Assessors ask how you validated the software that holds your records. Every release of AccreditBook ships with the evidence, generated from the same test run that gates the release.
- Requirements, each with the tests that cover it
- Test evidence and a traceability matrix for the release
- Release notes, change control and an infrastructure statement
- A one-page cover your lab signs for its intended use
| Requirement | Tests | Result |
|---|---|---|
| REQ-EQ-003 Next due from last calibration and interval | 4 | Pass |
| REQ-EQ-007 Provider due date overrides interval | 2 | Pass |
| REQ-NC-002 Nonconformity cannot close without effective action | 3 | Pass |
| REQ-SEC-001 One lab cannot read another lab's records | 14 | Pass |
Illustrative. The real matrix is generated with each release.
How it works
Set up in an afternoon. Current from then on.
- 1
Bring the record in
Import the equipment spreadsheet, upload certificates, add people and the documents you control. Enter your certificate number and next assessment date.
- 2
Work from the due list
Record calibrations, PT results, audits and actions as they happen. The due list and the Monday email keep everything else in view.
- 3
Export for the assessor
Build the pack before the visit, or give your assessor a read-only login that does not count toward your users.
Encrypted
TLS in transit and AES-256 at rest, including files and backups.
Isolated per lab
Row-level security in the database, tested against cross-lab access on every change.
Audit trail
Every change to every record, with who, when, and the values before and after.
Yours to take
Every list as CSV and the whole record as one archive, at any time.
Pricing
One flat price per lab
Under a fifth of what most small labs already pay their accreditation body each year. No per-user fees, no setup fee.
Lab
For most labs with 2 to 20 staff.
- Up to 250 equipment items
- Up to 5 users
- One accredited site
Lab 1000
For labs with a long equipment list.
- Up to 1,000 equipment items
- Up to 5 users
- One accredited site
Both tiers include
- Equipment register with calibration due dates and certificates
- Proficiency-testing plan, results and evaluation
- Nonconformity and corrective-action log
- Internal-audit and management-review calendar with evidence
- Controlled documents and personnel competence
- Weekly due-list email
- One-click assessor pack export
- Software-validation pack for clause 7.11
- Full data export at any time (CSV and PDF)
Our assessor will ask how we validated the software. What do you provide for clause 7.11?
Every lab receives a software-validation pack: the documented requirements AccreditBook was built to meet, the test evidence for each release, the change-control procedure, and a short validation protocol your lab completes with its own data. File it with your records and the question is answered.
Each release ships with updated test evidence, so revalidation after an update is a one-page record rather than a project.
Can we get our data out?
Yes, at any time and without asking. Every register exports to CSV, every record and attachment exports to PDF, and the full account exports as a single archive. If you leave, you keep a complete copy of the record the assessor saw.
Where is our data hosted?
All laboratory data is stored in a single cloud region. The region is confirmed before the first lab enters data and stated on this page and in the data processing agreement. Each lab is isolated at the database level, database backups and point-in-time recovery cover the last 7 days, and nobody outside your lab can see your records. A data processing agreement is available, with the EU Standard Contractual Clauses and the UK Addendum for labs that need them. Details are on the security page.
We already have 300 items in a spreadsheet. How does the import work?
Upload the spreadsheet as it is. AccreditBook proposes a column mapping, shows you the first rows as they will land, and lets you correct anything before it imports. Certificates can be bulk-uploaded afterwards and matched by equipment ID.
What is in the assessor pack?
One archive with an indexed PDF, the data as spreadsheets and every piece of evidence filed by clause: the equipment list with calibration status and certificates, the proficiency-testing plan and results, nonconformities with root cause and effectiveness checks, internal audits, management-review minutes, the controlled-document index and personnel competence. You choose the whole record or the period since a date, such as your last assessment. Full contents.
Does it cover our accreditation body’s specific requirements?
The record is built on ISO/IEC 17025:2017 itself, which is the same everywhere. Body-specific requirement packs (for example A2LA R-series documents or UKAS LAB publications) are being added one body at a time, starting with the bodies our founding labs are accredited by.
Is the price really flat? What happens if we add a user?
Flat. $149 per month billed annually covers up to 250 equipment items and 5 users; $249 per month covers up to 1,000 items. There is no per-user fee inside those limits and no setup fee. If you outgrow a tier, you move up and nothing else changes.
What does a founding lab get?
Founding labs join before launch, keep the founding price for as long as they stay subscribed, and have a direct line to the person building the product. In return we ask for honest feedback during your next assessment cycle. There is no payment until the product is in your hands.
