Exporting your data

How to export lists as CSV, export the whole record with files and audit log, and what happens to your data after cancellation.

Screen: Settings Clause 8.4 Updated

Your records stay yours

Everything you put into AccreditBook can be taken out again, in formats that open without AccreditBook: CSV for the data and the original files you uploaded for the evidence. You do not need to ask us, and export does not depend on an active subscription.

Export one list

Every list in AccreditBook (equipment, calibration events, people, PT, nonconformities, audits, documents and the due list) has a CSV download. It exports the rows that match your current search and filters, with one column per field, so the file opens in Excel or Google Sheets ready to sort.

Export everything

Settings, Data, Export everything produces a single ZIP of the whole record. It is built by the same pipeline as the assessor pack and contains:

  • index.pdf, the summary and file manifest,
  • data/*.csv, one file per section,
  • data/audit_log.csv, every change ever made, with who made it and when,
  • data/*_deleted.csv, records you have deleted that are still within retention,
  • evidence/, every certificate, report and document version, in folders by section and record.

The export runs in the background. When it is ready you receive an email with a download link, which is valid for 14 days. The ZIP’s SHA-256 checksum is recorded, so you can show later that a file is the one that was produced.

This export is how AccreditBook meets data portability requests under GDPR Article 20, and it is the file to keep if you ever leave.

After cancellation or non-payment

  • Cancelled: the lab becomes read-only. You can still sign in, view records and run Export everything.
  • Unpaid after all payment retries: the lab becomes read-only and the data is retained for 12 months. After that, the deletion process starts with 30 days’ notice to the lab’s owners, and export remains available during the notice period.

Deleting your lab

An owner can delete the lab from Settings, Data, with a typed confirmation. The lab goes read-only at once and you receive a full export link first. The data and files are permanently removed 30 days after the request.

See Export, Settings and Security.
