What is in the assessor pack

The contents and folder layout of the AccreditBook assessor pack, how to scope it, and how to give it to your assessor.

What it is

The assessor pack is a single ZIP file containing your accreditation record: a PDF index, the data behind it as spreadsheets, and every piece of evidence, organized so an assessor can find any record without asking for it. You create it from the Export screen.

Contents

index.pdf
data/
  equipment.csv
  calibration_events.csv
  ...one CSV per section
evidence/
  {section}/{record}/{original file name}
validation/
the clause 7.11 validation pack for the current release

index.pdf opens with a cover page: laboratory name, accreditation body, accreditation certificate number, the time the pack was generated and a pack id. A table of contents follows, then one section per clause area with a table of the records: equipment and calibration with certificate references and providers, reference standards and traceability, personnel and competence, proficiency testing plan and results, nonconformities with their corrective actions, internal audits with findings, management reviews, controlled documents with current versions, open due items, and the audit log for the period. The last section is a file manifest that maps every evidence file to its folder in the ZIP.

data/ holds one CSV per section, so the assessor can sort and filter in Excel.

evidence/ holds the files you uploaded, unchanged, in folders by section and record, for example evidence/equipment/EQ-014/ for a thermometer’s certificates.

validation/ holds the validation pack for the AccreditBook version you are using, so the 7.11 question is answered in the same place.

Scope

Choose everything, or since a date to limit the pack to the period after it, for example since your last assessment. Open due items are always included.

Integrity

A SHA-256 checksum of the ZIP is recorded against each pack in the export history, so you can show that the file the assessor holds is the one AccreditBook produced.

Giving it to your assessor

The pack takes a few minutes to build in the background; the Export screen shows progress and keeps a history with size, date and expiry. Then either:

  • download it and send it yourself,
  • use Email link to assessor, which sends a download link to the address you type; the link is valid for 14 days, or
  • invite the assessor as a user with the auditor role, which gives read-only access to every record and file and the ability to download packs. Auditors do not count toward your user limit.

Owners, admins and auditors can create packs; members cannot.
