Documents
How controlled documents, versions, approval, review dates and obsolete status work in AccreditBook.
The documents screen is your master list of controlled documents: the quality manual, procedures, work instructions, forms, methods, policies and external documents such as standards. See Clause 8.3.
AccreditBook controls documents; it does not edit them. You write in your usual editor and upload each approved version.
The list
Columns: code, title, category, current version, owner, next review and status. Search, filter and download as CSV work as on every list.
A document
| Field | What to enter |
|---|---|
| Code | Your document code, for example QM-01 or SOP-014. Unique within the lab. |
| Title | The document’s title. |
| Category | Quality manual, Procedure, Work instruction, Form, Method, Policy, External or Other. |
| Owner | A person from People. |
| Review interval | Months between reviews. Default 12. |
| Next review due | When the document must next be reviewed. |
| Status | Draft, Active or Obsolete. |
Versions
New version asks for the version label (for example 3.1), a change summary, the file, who approved it, the approval date and the effective date. The previous version is marked superseded. The version history table keeps every version with its file, so you can show the assessor what was in force on any date.
Obsolete withdraws the document. It stays in the list with status Obsolete, and its versions remain available for the record.
Review dates
Next review due appears in the dashboard due list. Document reviews have a 14-day grace period before they show as Lapsed.
Empty state
Before you add anything, the documents screen lists the documents your rule pack expects to see, with Create next to each. It is a starting checklist, not a requirement to use those codes.
First week
Import your document master list from CSV (see Import), then upload the current version of each document. Start with the quality manual and procedures; forms can follow.
What the assessor looks for
That documents are approved before issue, reviewed and updated as needed, that changes and current revision status are identified, that the right versions are available where used, and that obsolete documents are not used by mistake. Records produced from forms are covered under Clause 8.4.
