People

How to record personnel, authorizations, training, qualifications and competence assessments, and how people relate to logins.

Screen: People Clause 6.2 Updated

The people screen holds everyone whose work affects your results, and the competence records for each. See Clause 6.2.

A person and a login are different things. Everyone who performs, reviews or authorizes laboratory work belongs in People. Only those who use AccreditBook need a login, and a login counts toward your user limit only if it has an owner, admin or member role. You can link a person to a login from the person’s page.

The list

Name, job title, email and status: Active or Left. People who have left stay in the list, because their records support results they produced.

A person

Field What to enter
Full name Required.
Job title As in your organization chart.
Email Optional unless they will have a login.
Started on, left on Dates.

Competence records

Each person has a table of competence records:

Field What to enter
Kind Authorization, Training, Qualification, Competence assessment or Witness audit.
Title For example “Authorized to perform ISO 4833 plate counts”.
Method or scope The method, range or activity covered.
Granted on Date. Required.
Expires on Leave blank if it does not expire.
Review interval Months between reviews, if you review it periodically.
Authorized by Who granted it.
Status Current, Expired or Withdrawn.
Notes Anything else.

Attach certificates and assessment records to each entry. A competence record with an expiry date appears in the dashboard due list ahead of that date.

Questions quality managers ask

How do I show who is authorized for which method? Add an Authorization record per method or activity, with the scope in “Method or scope”. The person’s page then reads as their authorization list, and the full set goes into the assessor pack.

What about job descriptions and competence requirements? Keep them as controlled documents (see Documents) and reference the document code in the competence record notes.

Does a person need a login to own a corrective action? No. Any person can own an action; only people with a login receive email from AccreditBook.

First week

Import your staff list from CSV (see Import), then add the current authorizations for each person. Training history can follow. Witness audits and competence assessments are what assessors ask for most after authorizations.

Not answered here? A person reads every message.
