Import

How CSV import works for equipment, people, documents and the PT plan, what is sent to propose a column mapping, and how to fix rejected rows.

Import loads an existing spreadsheet into AccreditBook. It works for four lists: equipment, people, documents and the proficiency testing plan. Calibration history and certificates are added afterwards on each equipment record.

Nothing is written to your record until you select Confirm.

Step 1: upload

Save your sheet as CSV and upload it from the list’s Import CSV button. Each list offers a template CSV with the expected columns. Files up to 5 MB are accepted. Uploaded files are deleted after 7 days.

If you are starting from a spreadsheet, the free equipment register workbook already uses AccreditBook’s column names.

Step 2: mapping

AccreditBook proposes which of your columns goes to which field. To do this it sends your column headers and the first five rows to an AI model (Anthropic’s Claude), which returns a proposed field for each column with a confidence and a note. Nothing else from your file, and no certificate or evidence file, is sent. See Security.

You then see a two-column mapper with the proposal filled in:

  • Columns it could not place are flagged as unmapped.
  • Fields your rule pack requires are marked.
  • You can change any mapping or leave a column out.

Step 3: validation preview

Before anything is written you see:

  • row-level errors, such as a date that is not a date or an interval outside 1 to 120 months,
  • duplicates, for equipment matched by asset tag, which are skipped rather than overwritten,
  • a count of rows that will be inserted and rows that will be skipped.

Step 4: apply

Confirm writes the rows. A summary links to the list and offers an error CSV listing every skipped row with the reason. Fix those rows in your spreadsheet and import the error file again; rows already imported are skipped as duplicates.

Common questions

My dates import wrongly. Use ISO dates (2027-03-15) in the CSV. Day-first and month-first dates look the same for the first twelve days of each month, so the preview may not catch them.

Do I need to import next due dates? No. Map the last calibration date and the interval; AccreditBook works out next due from them, and recalculates it each time you record a calibration.

Will import exceed my plan? Equipment rows beyond your plan’s limit are refused. See Billing.

Can I undo an import? Imported records can be deleted like any other record by an owner or admin.
