How to record a calibration, verification, intermediate check, maintenance or repair, attach the certificate and set the next due date.

A calibration event is one dated thing that happened to an item of equipment. Events live on the Calibration history tab of each equipment record and are added with Add event.

Kinds of event

Calibration External or internal calibration against a reference. Only this kind sets next due.
Verification A check that the item still meets its specification.
Intermediate check Checks between calibrations to maintain confidence (clause 6.4.10).
Maintenance Planned servicing.
Repair Unplanned work after a fault.

Common questions

The provider is accredited and states its own due date. Which date wins? Enter that date in “Due date from the provider’s certificate”. It overrides your interval for this event only. The next event without one goes back to last calibration plus interval.

The result was a fail. Record it as Fail, set the equipment status to Quarantined or Out of service, and raise a nonconformity so the effect on earlier results is assessed. See Nonconformities and Clause 7.10.

The calibration was done in house. Enter the person in “Performed by”, set Provider accredited to no, and make sure the reference standard you used is in the register with its own traceability. See Clause 6.5.

I entered the wrong date. Edit the event. The next due date recalculates, and the Activity tab keeps the original value with your name and the time of the change.

What the assessor looks for

The certificate behind each calibration, evidence that the provider was competent (the scope of its accreditation, or your own evaluation of it, see Clause 6.4), that results were checked against acceptance criteria, and that next due dates were met. All of this is on the event and goes into the assessor pack.

How files are handled

Certificates are stored privately under your lab and are only ever downloaded, never opened inline from the app. Each file’s SHA-256 checksum is recorded. See Security.
