Equipment register

Every field on the equipment register, what each equipment status means, and how next calibration due is calculated.

Screen: Equipment Clauses 6.4, 6.5 Updated

The equipment register holds one record per item that can influence your results: instruments, reference standards, reference materials kept as equipment and software where it matters. It is the record assessors usually open first. See Clause 6.4: equipment for what the standard asks.

The list

Columns: asset tag, name, category, location, status, last calibrated, next due and a due chip. You can filter by status, category and due status, search, and download the list as CSV. Add creates one item; Import CSV loads many (see Import).

Fields

Field What to enter
Asset tag Your unique identifier, as on the label. Must not repeat within the lab.
Name What the item is, for example “Analytical balance”.
Manufacturer, model, serial number As on the item.
Category Free text, for example Balance or Thermometer.
Location Room, bench or site.
Status See below.
Calibration required Off for items that do not need calibration; they then have no due date.
Calibration interval Whole months, 1 to 120.
Lead time Optional. Days before due that the item turns Due soon; blank uses the lab default.
Verification and maintenance intervals Optional, in months.
Acceptance criteria What a calibration result is checked against.
Notes Firmware version, adjustments, anything else.

Statuses

In service, Out of service, Quarantined, Retired and Reference standard. Changing status asks for a reason, and the change is logged. Retired items stay in the register because assessors ask for them. A reference standard gets an extra tab for its traceability chain, nominal value, uncertainty and provider (see Clause 6.5).

How next due is calculated

You do not type the next due date. AccreditBook takes the most recent calibration event and adds the interval. If that event records a due date from the provider’s certificate, that date is used instead. Changing the interval recalculates it.

The detail page

Tabs: Details, Calibration history (every event with its certificate, and Add event), Reference standard (when the status is reference standard), Files and Activity. Activity lists every change to the record: who, when, old value and new value. This is what you show when an assessor asks who changed a due date.

Plan limits

Items in the register count toward your plan’s equipment limit. Retired items stay in the record but do not count. See Billing.

First week

  1. Import your existing register, or download the free equipment register workbook, fill it, then import it.
  2. For each item, add its most recent calibration as an event and attach the certificate. See Calibration events.
  3. Check the dashboard: anything already overdue shows at the top.
